Background and challenge
Mercury Energy is a sales-based organisation. The sales team creates customised proposals for potential clients that need to be accurate and on-brand. The existing process was labour intensive and it took more than a day to create each commercial proposal.
We proposed a process to build professional looking documentation with a robust approval and versioning system. We created an online proposal building module. This began with a correctly branded proposal template and we worked with the client to identify which content they wanted to allow changes to, and the approval workflow for their proposals.
The completed template allows the user to select from sector specific information, the choice of content according to the client (new, existing or contract roll-over), and pre-made personalised letters. We created user profiles for each account manager, which stores all their contact details and signatures. When a proposal is generated this content is automatically populated. This significantly minimises the amount of content account managers have to write when creating proposals.
The solution is integrated with Mercury's SAP solution to build the pricing schedule relevant to the particular client. The contracts are made editable and any changes are highlighted to the legal team. Atlas' digital asset management library (DAM) stores all versions of the proposals generated ensuring these can be tracked and renewed. The solution has been in use for over 10 years.
